Use a Detailed Work Definition Document

One of the common issues that project managers face during the project documentation is clarifying who is responsible for what. A detailed work document contains what level of work must be done by what group or individual, so everyone has a clear understanding of the level of effort involved.

Create a Detailed Work Plan

Use techniques such as work breakdown structures to define what activities are required to produce the deliverables. Estimate the time and effort needed for each activity and decide a realistic schedule to complete them. When deciding on the timeline, involve the project team in estimating how long each activity will take. “Set milestones that indicate critical dates during the project. Write this into the project plan,” says Simon. Get your plan approved by key stakeholders before you proceed to the execution of the project.

Escalation and Issue Management

An effective escalation procedure requires the issues and problems to be solved first by the lowest appropriate level. If the issue cannot be resolved, it will be elevated to the next organizational level and so on. Therefore, implement a formal process that addresses disputes or grievances of employees before they become fatal to the project costs and schedules.

Hold Regular Retrospective Meetings

Meetings go hand-in-hand with consistent communication best practices. Hold retrospective meetings to review the progress, and to reflect on challenges and success. These meetings will open the doors for more communication from members within the team.
